Privacy Policy

At Heart-Based Living Initiative CIC we respect your privacy and understand how important it is that your personal information remains secure. This privacy policy sets out how we use and protect any information that you give us.

The information that we collect

When you book on a course with us, we will ask you for the following information:

Name, Address, Date of birth, Phone number, Email address, Gender identity, Occupation, Emergency Contact Details

We will also ask you if you have any specific needs relating to a disability or health condition, or any dietary requirements.

We need this information in order to communicate with you about your booking and to help with room and meal allocation. 

We will also ask you about any experience you have of mindfulness and/or heart coherence so that we can fulfil our duty of care to you. 

Who has access to your data?

The information we store on our booking system is accessed by our Programme Co-ordinator and the Finance Department, as required as part of their duties.

In addition, the information you provide regarding your previous experience and any other practice-related needs is accessed by the facilitators of the course that you are booked upon.

Other members of staff may retrieve information from the booking system as part of their duties, for example to access numbers of bookings, for future course planning, or in the event of an emergency when next-of-kin contact details may be needed.

Compliance with GDPR

Our monthly newsletter will only be sent to you if you have specifically said you agree to us doing this, and we will only contact you in the way(s) you have agreed to.

Every newsletter we send includes a link to opt out of receiving future emails. You can also let us know of any changes to your communications preferences at any time (you will find contact details at the end of this statement).

If you opt out of receiving our communications at any point, we will record this request on our database. This will ensure that you do not receive any further communications from us, unless in relation to any future course bookings or donations.

You may request details of personal information which we hold about you under the Data Protection Act 1998 or the EU General Data Protection Regulation 2018 (GDPR). 

You also have the right to be ‘forgotten’, which means that if you request us to, we will remove all the data that we hold on you from our systems. 

Involvement of third parties

We will never sell or exchange your information unless we have your permission or are required by law to do so. We do have third parties that we employ to provide services on our behalf, and each has a robust privacy policy and is compliant with GDPR.  The third parties that we currently use are:

MailChimp – to distribute our monthly newsletters (read MailChimp’s Privacy Policy)

Insightly – our participant database provider (read Insightly’s Privacy Policy)

Woo Commerce – our e-commerce provider (read Woo Commerce’s Privacy Policy)

Stripe – our payment processing platform (read Stripe’s Privacy Policy)

Google Analytics – a third party data processor (see ‘Cookies on our website’ below)

Facebook – a third party data processor (read Facebook’s Privacy Policy )

The security of your data

Heart-Based Living Initiative CIC takes the care of your data seriously and undertakes to protect your personal information by putting in place appropriate physical, electronic, and managerial procedures to safeguard and secure the data we collect.

However, please note that no data transmission over the Internet is completely secure. Therefore, we cannot guarantee or warrant the security of any information that you provide to us and you transmit such information to us at your own risk.

Cookies on our website

Like most websites, our site uses Google Analytics (GA) to track user interaction. We use this data to determine the number of people using our site, to better understand how they find and use our web pages and to see their journey through the website.

Although GA records data such as your geographical location, device, internet browser and operating system, none of this information personally identifies you to us. GA also records your computer’s IP address which could be used to personally identify you, but Google do not grant us access to this. 

GA makes use of cookies, details of which can be found on Google’s developer guides. Disabling cookies on your internet browser will stop GA from tracking any part of your visit to pages within this website.

Similarly, we may use data captured to deliver relevant website content and advertisements to you (including Facebook adverts or other display advertisements) and to measure or understand the effectiveness of the advertising we serve you.
